Terms and conditions
The rules for using this website and the Quantum 21-day free trial. Please read them: by creating a trial account you agree to them. Last updated 18 October 2026 (version v2-2026-10).
1. Who we are and what these terms cover
Quantum is a product of QSM (“QSM”, “we”, “us”). These terms apply to your use of quantum.qsm.co.za and the free trial of the Quantum software at quantum.qsm.co.za/try (the “Trial”). QSM’s registered company name, registration number and physical address are available on request from sales@qsm.co.za. Our Privacy Policy and Cookie Policy form part of these terms.
Paid plans, when they are offered, will have their own order and pricing terms. Nothing in the Trial commits you to buy, and we will never charge you without your clear agreement.
2. The free trial
- The Trial runs for 21 days from sign-up and is free. No credit card is asked for.
- It gives you access to the parts of Quantum we have built for your industry, and you can invite up to two colleagues.
- When the Trial ends your account becomes read-only. You can still view and export your data. Trial data is kept for up to 30 days after the Trial ends and is then deleted, as the Privacy Policy explains.
- We may change, add or remove features during the Trial, and we may end the Trial programme or your Trial at any time if we need to, for example to prevent abuse.
3. Your account
- You must be at least 18 and use Quantum for business purposes. Give us accurate information and keep it up to date.
- Keep your password safe. You are responsible for what happens under your account. Tell us at once at sales@qsm.co.za if you think someone else has got in.
- The person who creates the Trial is its owner. Colleagues you invite can use the shared data; only the owner can change company settings or delete the account. You are responsible for the people you invite and for what they do.
4. Acceptable use
You agree not to: use Quantum unlawfully or to commit fraud; try to get into accounts, systems or data that are not yours; probe, scan, overload or attack the service; copy, resell, reverse engineer or scrape it beyond normal use; upload malicious code; use it to send spam; or put in other people’s personal information without a lawful reason to hold it. We may suspend or end an account that breaks these rules, with or without notice where the risk is serious.
5. Your data and personal information
- Your data is yours. You keep ownership of what you put into Quantum. You give us permission to store and process it to run the Trial for you, and as the Privacy Policy describes.
- POPIA roles. If you enter personal information about your staff, customers or suppliers, you are the responsible party under the Protection of Personal Information Act and are responsible for having a lawful basis for doing so. QSM processes it on your behalf to provide the Trial.
- Use made-up data in the Trial. Please do not enter real ID numbers, health records or payment card numbers. Use made-up people when you try Payroll & HR.
- You can export your data at any time and delete your account in Settings.
6. Payroll, tax, accounting and legal figures are not advice
Quantum calculates PAYE, UIF, the skills development levy, VAT, depreciation, leave and similar figures using rules and rates we have researched, and we update them from time to time. They can be out of date, incomplete or wrong for your situation, and some items are deliberately not covered (for example the Employment Tax Incentive, bonus averaging, most fringe benefits and special tax incentives). The figures are for information and planning. They are not tax, accounting, payroll or legal advice. Confirm them with a qualified accountant, payroll practitioner or tax practitioner before you rely on them, pay staff or submit anything to SARS, the Department of Employment and Labour, the CIPC or anyone else. Quantum does not file returns for you. You remain responsible for your own compliance and submissions.
7. Sample data
Sample customers, employees, prices, bank lines and similar items shown on this website and loaded by the tutorial are made up. Any resemblance to real people or companies is a coincidence. Figures marked “Demo data” or “Illustrative example” are not promises of results or savings.
8. Intellectual property
QSM owns Quantum, its software, design, text, industry research and branding. During the Trial we give you a limited, non-exclusive, non-transferable right to use it for your own business. Nothing here transfers any of our intellectual property to you. If you give us feedback or ideas, you let us use them freely to improve our products without paying you.
9. Availability and changes
We work to keep Quantum available but do not promise it will be uninterrupted or error free, especially during the Trial. We may carry out maintenance, make changes or fix problems at any time. Keep your own copy of anything important by using the export feature.
10. Disclaimer and limit of liability
The Trial is free and is provided “as is”. To the fullest extent the law allows, QSM gives no warranty that Quantum will meet your needs or be accurate, and is not liable for indirect or consequential loss, loss of profit, loss of data, penalties or interest charged by an authority, or business interruption. To the extent liability cannot be excluded, our total liability to you for anything connected with the Trial is limited to the amount you paid us for it, which for a free Trial is nil.
Nothing in these terms excludes or limits liability that cannot lawfully be excluded, including liability for fraud or gross negligence, or any right you have under the Consumer Protection Act 68 of 2008 or other South African law that cannot be waived.
11. You indemnify us for misuse
You are responsible for claims made against QSM because of your unlawful use of Quantum, data you entered without the right to do so, or a breach of these terms by you or the people you invite.
12. Suspension and ending
You can stop using Quantum and delete your account in Settings at any time. We may suspend or end your access if you break these terms, if the law requires it, or when the Trial ends. When the Trial ends, section 2 and the Privacy Policy explain what happens to your data.
13. Electronic communications
By creating a Trial account you agree that this agreement is formed electronically and that we may send notices to the email address on your account. Under the Electronic Communications and Transactions Act 25 of 2002 you may contact us at sales@qsm.co.za. Nothing in these terms limits any statutory right you may have to cancel an electronic transaction.
14. Changes to these terms
We may update these terms. If we change them in a way that matters, we will update the date and version above and tell Trial users in the app or by email. The version you agreed to is recorded against your account. If you do not agree to a change you can stop using the Trial and delete your account.
15. Complaints, governing law and general
If something is wrong, please email sales@qsm.co.za first so we can put it right. These terms are governed by the laws of the Republic of South Africa, and the South African courts have jurisdiction. If any part of these terms is found to be unenforceable, the rest stays in force. Not enforcing a right straight away does not waive it. These terms, together with the Privacy Policy and Cookie Policy, are the whole agreement about the Trial.
